Please excuse my writing to you in this form letter. Although I would like to write to you personally, time does not permit me to do so.

I am writing to introduce the latest project from the ABC-AHP-NCNPR Botanical Adulterants Program (BAPP) – the proposed “Best Practices SOP for the Disposal/Destruction of Irreparably Defective Articles.”

If you are one of the 33 industry companies or trade organizations that participated in the special BAPP meeting on this subject at the recent NBJ Summit in July, then you will have already been sent a very similar version of this document.

We are inviting you to review and comment on the proposed “Best Practices SOP for the Disposal/Destruction of Irreparably Defective Articles.” At the bottom of this letter will be a link to download the draft and instructions on how you can submit comments.

The file also includes the draft proposed contract language that buyers and suppliers can consider adding to their supply contracts. (Companies that purchase ingredients certainly have the option of modifying the proposed contract language with their suppliers, depending on their specific needs and relationships, and we encourage them to review this language with their legal counsel.)

Also included is a PDF of a flow chart series showing five possible scenarios related to the receipt of botanical or other ingredients for future processing and/or use in a finished consumer product. This flow chart helps to explain in which situation the utilization of the proposed SOP would be applicable – i.e., scenario #5 in which an “irreparably defective article” is received.

We invite you to share this file with interested members of your company or organization for their review and possible comment. We respectfully request that your comments be returned to ABC by October 30, 2018 via email at BAPPSOP@herbalgram.org. We prefer that comments be made in the actual MS Word file (comments must be in Track Changes mode), but we will accept comments in other forms, such as an email summary, etc.

After the October 30th deadline, when all public comments are received, we plan to review all of them, determine their appropriateness for the SOP and/or contract language, and publish them online with the final document at some future date.

We will also be releasing very shortly a press release inviting other parties in the herb and natural products industries to submit public comments to these documents.

We sincerely hope that the responsible parties in the herb and dietary supplement communities, and other parties in industries where this SOP may be applicable, will agree with us that industry-wide acceptance of this proposed SOP will enable industry members to take a more significant degree of control over the botanical supply chain and help to remove Irreparably Defective Articles from the supply chain, if and when such articles may be offered for sale.
